How to Reduce PDF Size for Online Forms

If a portal keeps saying your file is too large, you need to reduce PDF size for online forms before you upload. This is very common with job portals, university admissions and visa applications. The good news is that you can usually fix it in a minute, on your phone or computer.

This guide explains why PDFs get so big, how to make them smaller with PDF Hydra, and what to do if the file is still over the limit.

Why your PDF is too big

Most large PDFs are large because of pictures. When you scan a page or take a photo with a modern phone, each page becomes a big image. Put ten such pages together and the file can grow to many MB.

A PDF that is mostly typed text, like a CV made in Word, is usually small already. Scans of certificates, ID cards and bank letters are the files that cause trouble.

Find out the limit first

Before you start, read the upload instructions on the form. Look for the allowed file type and the largest size it accepts. Limits differ between portals and can change, so always check the size the form asks for instead of guessing.

Also note whether the form wants one file or several. Some forms ask for each document separately, which makes each file smaller.

Compress your PDF with PDF Hydra

Compress PDF makes your file smaller while keeping the pages readable. It runs in your browser, so the file stays on your device and is not uploaded.

  1. Open Compress PDF and choose the PDF you want to make smaller.
  2. Start the compression.
  3. Download the smaller PDF.
  4. Check the new file size in your phone's files app or on your computer.
  5. Open the file and zoom in to make sure the text is still easy to read.

When you need an exact size

If the form asks for a file under a set number, such as 200KB or 500KB, use Compress PDF to 100KB. In this tool you enter the target size and it works to bring the file under it. Download the result and check its size before you upload.

Very small targets lower image quality. If the document looks unclear, choose a slightly larger size that is still under the limit.

Still too big? Try these

  • Remove pages you do not need with Delete PDF Pages, such as blank backs of pages or extra copies.
  • Split a long file with Split PDF and upload each part where the form allows it.
  • Turn color scans into black and white with Grayscale PDF. Black and white scans are often lighter.
  • Rescan at a lower quality. When you take photos of papers, a normal photo is usually enough; a huge photo makes a huge PDF.
  • Compress again after each of these steps.

Keep the document readable

A file that is small but unreadable can get your application rejected. After compressing, open the PDF and read the smallest text on the page, like ID numbers, dates and stamps. If you cannot read them easily, the person checking your file may not be able to read them either.

Keep your original file safe. If you need to try again with a different size, start from the original, not from an already compressed copy.
